Terms and Conditions

Participation

  • To participate in a webinar, participants must:
    • (A) Register exclusively via the online form on the webinar’s website.
    • (B) Pay the webinar fee as defined by the Organizer.
  • The Organizer reserves the right to modify the list of speakers and/or the agenda for reasons beyond its control and shall not be held liable for any resulting damages.
  • The Organizer may alter the webinar date due to circumstances beyond its control. In such cases, participants may cancel their participation free of charge, but the Organizer will not cover any additional expenses incurred.
  • Speaker slots are limited and allocated on a first-come, first-served basis.
  • The Organizer may cancel participation due to misbehavior, with no refund issued.

Registration

  • Participants must complete the online registration form and make payments through credit/debit card, PayPal, or Registration Link.
  • Registration is open from the start date until the webinar begins.
  • Required fields marked (*) must be filled accurately.
  • Paid participants will receive a payment receipt within 24–48 hours of successful payment.
  • The organization may use logos and affiliations of speakers/exhibitors/sponsors/media partners in promotional materials and on the website.

Press/Media

  • Press permission must be obtained from the WebiConX Webinars Operating Committee before the event. Quotes from speakers or delegates require written approval.
  • WebiConX Webinars is a third-party non-profit organization, unaffiliated with any commercial webinar company.

Insurance

  • Attendees are responsible for arranging appropriate insurance coverage for their participation. WebiConX Webinars cannot be held liable for any loss, liability, or damage to personal property.

Letter of Invitation

  • Foreign attendees can request a Letter of Invitation to facilitate the visa process after registering for the webinar. Requests must be sent to contact@webiconx.com.
  • Required details for the letter include:
    • Full name
    • Affiliation
    • Contact details
    • Nationality
    • Purpose of visit: Speaker/Delegate
    • If presenting a paper: title and session of the paper; if exhibiting, please indicate.
  • Invitation letters will be sent in PDF format via email or WhatsApp.
  • WebiConX will not contact embassies directly on behalf of participants; visa requirements must be handled independently.

Postponement

  • If a webinar is postponed and participants cannot attend the rescheduled date, they will receive a credit for 100% of the registration fee excluding service charges, or usable for another WebiConX event within one year.
