This Cancellation & Refund Policy outlines the terms governing registration cancellations, postponements, transfers, and refunds for all WebiConX congresses and webinars.
By registering for any WebiConX event, you agree to the conditions outlined below.
1. Cancellation, Postponement & Transfer Requests
All requests related to cancellation, registration modification, and participant transfer must be submitted via email to the official WebiConX support or finance team. Requests are processed only upon written confirmation.
2. Event Cancellation by WebiConX
If an event is cancelled by WebiConX:
- Participants will receive a 100% credit of the registration fee (excluding service charges)
- Credits can be used for any future WebiConX event within one year from the date of cancellation
- No additional compensation or reimbursement will be provided
3. Event Postponement
If an event is postponed:
- Registrations will automatically remain valid for the rescheduled date
- Participants unable to attend may request a 100% credit (excluding service charges)
- Credits will remain valid for one year and can be used for any WebiConX event
4. Transfer of Registration
Participant Transfer
- Registrations may be transferred to another individual from the same organization
- Requests must include: Full name, Designation/title, Contact number, Email address
- Once approved, all registration benefits will transfer to the replacement participant
Event Transfer
Participants may request to transfer their registration to another WebiConX event
Restrictions
- Transfers are not permitted within 15 days of the event
- Transfers are not eligible for refunds
5. Refund Policy
Refunds are applicable only under the conditions below:
More than 30 Days Before the Event
- Eligible for a full refund minus a $50 administrative fee
- Refunds are processed within 5–7 business days to the original payment method
15 to 30 Days Before the Event
- Eligible for a 50% refund of the registration fee
- Refunds are processed within 5–7 business days
Within 15 Days of the Event
- No refunds will be issued
E-Poster / Special Submission Fees
- Payments made for e-poster or similar submission categories are non-refundable
6. Important Notes on Refunds
- All refund requests must be submitted in writing
- Refunds are processed only to the original payment method
- Any bank charges, currency conversion fees, or gateway charges are non-refundable
- Processing timelines may vary depending on financial institutions
7. Visa & Travel Considerations
For future physical or hybrid events:
- Participants are responsible for managing their own visa processes
- WebiConX does not guarantee visa approval
- Refund policies remain applicable regardless of visa outcomes
8. Policy Fairness & Limitations
This policy is designed to maintain operational stability for event planning, ensure fairness to all participants, and protect against last-minute disruptions.
By registering, participants acknowledge and accept these conditions.
